Overview
The Welcome Message feature allows you to automatically send a message to newly added recipients, introducing them to your organization’s use of RedFlag.
This helps ensure recipients understand:
- What types of messages they will receive
- Which contact methods are used (email, text, voice)
- How to save important contact information
Welcome messages can be configured for both Email and Text (SMS) and are triggered automatically when a recipient is added.
This feature must be enabled for your location. If you’re interested in using Welcome Messages, please contact Support or your Customer Success Manager (CSM).
Configure Welcome Messages
Enable or Disable Messages
- Toggle Email Welcome Message ON/OFF
- Toggle Text Welcome Message ON/OFF
You can enable one or both channels depending on your communication preferences.
🛡️ Note: Welcome messages are sent using your location’s configured sending email domain and 10DLC phone number. Welcome messages are only sent between 9:00 AM and 5:00 PM based on your location’s time zone.
Customize the Email Welcome Message
Use the email editor to create a branded and informative welcome message.
Common elements to include:
- Greeting (e.g., Hi [FIRSTNAME])
- Purpose of messaging (alerts, emergencies, updates)
- Contact details (email, text number, voice number)
- Instructions to save contact information
🛡️ Note: Dynamic fields like [FIRSTNAME] will automatically populate based on recipient data.
Customize the Text Welcome Message
The text message should be short and clear, typically including:
- Organization name
- Purpose of messages
- Instruction to save the number
Example:
“[Company Name] uses RedFlag for important alerts such as emergencies and outages. Please save this number for future messages.”
Include Contact Card Link (Text Only)
Enable Include Contact Card Link to automatically add a downloadable contact card to the text message.
This allows recipients to:
- Save your organization’s contact details directly to their phone
- Easily recognize future messages
Recipient App Link
At the bottom of the page, you’ll find your Recipient App Link.
This link can be:
- Copied and added to welcome messages
- Shared manually with recipients
Recipients can use this link to:
- Access alerts
- Manage notification preferences
Welcome Message Behavior
- Each recipient will only receive the welcome message once, even if their profile is updated or re-synced.
- Email welcome messages are sent to the Email1 and Email2 data fields. Text welcome messages are sent to the Text1 and Text2 data fields.
- If the Welcome Message feature is disabled, recipients added during that time will not receive a welcome message—even if the feature is enabled later.
- If a recipient is added after 5:00 PM, the message will be sent at 9:00 AM the following day.
Best Practices
- Keep messages clear and concise, especially for SMS
- Encourage recipients to save contact details
- Include all communication channels (text, email, voice)
- Use the Recipient App Link to drive engagement
- Test messaging with a small group before enabling broadly
Troubleshooting
Welcome message not received?
- Confirm the feature is enabled at the time the recipient was added
- Verify recipient contact details (email/phone)
- Check if the recipient was added outside of sending hours
- Ensure the correct channel (email/text) is enabled
