Data Connector – Preflight Data Review


📍 To access the Preflight Data Review, go to: More > Setup > Profile Data Field Setup

Overview

The Preflight Data Review allows you to preview and validate the data RedFlag is receiving from your HRIS provider before initiating your first sync.

This step ensures:

  • Your required fields are mapped correctly
  • RedFlag is receiving expected values
  • There are no connection or retrieval errors
  • You explicitly confirm the data prior to syncing

Preflight Data Review is required for each new Data Connector connection before the initial sync can occur.

🛡️ Note: RedFlag does not have visibility into your HRIS platform configuration, API settings, permissions, or endpoint setup. If you experience connection errors, missing data, permission issues, or endpoint-related errors, you must contact your HRIS provider for support. RedFlag can only display the data returned by the provider.

Required Before Access

The Preflight Data Review button will remain read-only until a Data Connector connection has been established, and the required Unique ID field is mapped.

  • Unique ID → Employee Number

Saving vs. Initiating Sync (Initial Setup)

You may click Save on the Profile Data Field Setup page without initiating a sync.

  • Clicking Save stores your field mappings.
  • It does not initiate a sync.
  • A warning message will indicate that the sync has not started.

A sync will only begin after:

  1. Preflight Data Review is completed
  2. Data is confirmed

Running the Preflight Data Review

When you click Preflight Data Review, RedFlag retrieves live data from your HRIS provider.

  • Load time depends on the volume of data returned.
  • The system evaluates the connection and displays sample records.
  • If multiple Data Connector connections exist, they will be stacked (first connection displayed at the top).

Understanding the Preflight Screen

The Preflight screen contains two primary sections:

Left Panel – Raw Data (JSON)

This section displays the raw JSON response received from your HRIS provider.

You can:

  • Expand or collapse individual employee records
  • View the first four returned objects
  • Download the full dataset as a JSON file

Each object represents an individual employee record.

🛡️ Note: If you are expecting specific values and do not see them on the right-hand side, always verify the raw JSON to confirm whether the provider is returning that data.

Right Panel – Mapped RedFlag Data Fields

This section displays:

  • All enabled RedFlag data fields
  • The values being populated from your HRIS provider

If a field is mapped but no value appears:

  1. Review the raw JSON data.
  2. Confirm whether your HRIS provider is returning that attribute.
  3. Verify the value is not located under a different field name.

Example

If you mapped Department, but the data appears under Department ID in the raw JSON:

  • Close the Preflight screen
  • Update the mapping
  • Re-run Preflight Data Review

Confirming Data

If the data appears correct, click Confirm Data.

This action:

  • Records your consent
  • Initiates the first sync (after saving on the data field setup page)

If you select Skip:

  • The data will not be confirmed
  • The sync will not begin

🛡️ Note: Confirmation is required before a connection will sync. RedFlag will not process data from a new connection until it has been reviewed and confirmed.

After Initial Confirmation

Once a connection has been confirmed:

  • You do not need to confirm again for that connection.
  • Future field mapping adjustments can still be reviewed.
  • The connection remains active and syncing.

If you add a new Data Connector connection in the future:

  1. Navigate to More > Setup > Profile Data Field Setup
  2. Run Preflight Data Review
  3. Confirm the new connection

Each connection must be confirmed individually.

Troubleshooting

Below are common scenarios encountered during Preflight Data Review.

Error Retrieving Data

  • Symptoms:
    • Error message displayed in Preflight
    • Confirm Data button disabled
    • Sync does not initiate
  • Cause:
    • Authentication failure
    • Expired credentials
    • Insufficient API permissions
    • Incorrect endpoint configuration
    • HRIS provider outage

🛡️ Note: RedFlag cannot diagnose or modify your HRIS API configuration, permissions, or endpoint setup. These issues must be reviewed directly within your HRIS platform.

  • Resolution:
    • Verify credentials under More > Integrations > Data Connector
    • Confirm the integration user has proper API access within your HRIS
    • Validate correct environment and endpoint configuration
    • Contact your HRIS provider for troubleshooting assistance

Empty Objects / No Data Returned

  • Symptoms:
    • Raw JSON displays empty objects ({})
    • Mapped fields show no values
    • Preflight loads but contains no usable data
  • Cause:
    • HRIS permissions do not allow access to employee data
    • Incorrect company or environment selected in HRIS
    • No employees match the current filter criteria
    • API endpoint returning empty response

🛡️ Note: If empty objects are returned, the issue originates with the HRIS provider. RedFlag can only display the data received and cannot alter or troubleshoot the provider’s response.

Resolution:

  • Confirm the integration user has proper access within the HRIS platform
  • Verify employee records exist and meet filter conditions
  • Review raw JSON to confirm whether values are being returned
  • Contact your HRIS provider to validate API response

Mapped Field Shows No Data

  • Symptoms:
    • Field is mapped
    • No values appear on the right-hand panel
  • Cause:
    • Field is not being returned by the HRIS provider
    • Incorrect mapping selected
    • Value is nested under a different attribute
  • Resolution:
    • Review raw JSON
    • Identify correct attribute name
    • Update mapping in Profile Data Field Setup
    • Re-run Preflight Data Review

🛡️ Note: If the expected field is not present in the raw JSON, you must work with your HRIS provider to enable or expose that field via their API.

Sync Not Starting After Save

  • Cause:
    • Data has not been confirmed in Preflight
  • Resolution:
    • Open Preflight Data Review
    • Click Confirm Data

Summary

Preflight Data Review is a required validation step that:

  • Verifies field mappings
  • Confirms data retrieval
  • Prevents syncing incomplete or incorrect data
  • Allows optional filtering prior to synchronization

This process ensures your Data Connector is properly configured before recipients are synced into RedFlag.

For connection errors, missing fields, permission issues, endpoint configuration, or unexpected API responses, you must work directly with your HRIS provider. RedFlag can only display and process the data returned by the integration.
