Desktops List
Overview
The Desktops section in RedFlag allows administrators to manage and message desktop devices directly through the platform. Similar to Recipients, desktops can have their own profiles and data fields, and messages can be sent directly to those devices.
Desktop Limits
Each location has a maximum number of desktops that can be added to the platform. To confirm your location’s limit, review your Account Settings.
Desktop Statuses
Each desktop includes a Status field indicating its current connection to the RedFlag platform.
| Status | Description |
|---|---|
| Online | The desktop app is installed and currently online. |
| Offline | The desktop app is installed, but the device is not online. |
| Not Installed | The desktop has been added to RedFlag but the app has not yet been deployed or activated. |
🛡️ Note: Devices in Not Installed status cannot receive messages until the RedFlag Desktop App is installed and activated.
Required and Optional Data Fields
Required Data
- Device Name – The unique identifier RedFlag uses to match the desktop profile with the physical device.
Optional Data
- Display Name – A descriptive label that can be added for easier identification.
- Other Data Fields – Additional fields can be enabled through Profile Data Field Setup to support grouping and filtering.
Important Notes
- The Device Name must be unique across all desktops.
- Once the app connects to RedFlag, the system automatically matches the desktop using the Device Name.
- After matching, the Device Name becomes read-only and cannot be modified.
🛡️ Note: Updating a Device Name after the app has connected is not supported. To change it, the desktop must be deleted and re-added.
System-Provided Columns
Some data columns are automatically populated by the desktop app and cannot be edited.

| Location Enabled | Shows whether location services are active on the device. |
| OS Type | Indicates whether the device runs Windows or Mac. |
| Version | Displays the installed app version. |
| Device ID | Captured from the device (not currently used as a unique identifier). |
| Status | Displays the current desktop status (Online, Offline, or Not Installed). |
| Groups | Lists any groups the desktop is assigned to. |
Adding Desktops
Desktops can be added individually or through a bulk upload process.
Individual Add
- Add a desktop profile manually within the RedFlag platform.
- The desktop remains in Not Installed status until the app is installed and activated.
- Once the app connects, the system automatically matches the Device Name and updates the desktop’s status.
Bulk Upload
Bulk upload allows you to add or update multiple desktops at once.
- Add Only – Adds new desktops.
- Add & Update – Adds new desktops and updates existing ones.
- Add, Update & Delete – Adds new desktops, updates existing ones, and removes desktops not found in the file.
🛡️ Note: The Device Name is required for all bulk uploads. You can save your field mapping during import for use in future uploads.
Removing Desktops
Desktops can be deleted from RedFlag, but deletion does not uninstall the desktop app from the device. Deleting a desktop removes its license key, deactivating it in RedFlag. The desktop app remains installed and must be manually uninstalled if full removal is required.
🛡️ Note: To completely remove a desktop, delete it from RedFlag and uninstall the desktop app from the device.
