How to Create & Manage Groups
Overview
Groups help you organize recipients and desktops so you can send messages to the right people or devices quickly. RedFlag supports three group types: Static, Dynamic, and Geofence.
Creating a Group
To create a new group, go to:
Groups > Create Group
From there, select the group type and enter a group name.
🛡️ Note: Once a group is saved, the group type cannot be changed.
Group Types
Static Groups
Static groups are manually managed groups. Use a static group when specific recipients or desktops need to be grouped together.
With static groups, you can:
- Bulk upload recipients directly into the group
- Search for existing recipients or desktops and add them one at a time
- Manually remove profiles when they no longer belong in the group
Profiles remain in a static group until they are manually removed or deleted from your database.
Dynamic Groups
Dynamic groups are automatically managed based on profile information.
When creating a dynamic group, select one or more data fields and values. For example, you could create a group where:
- Department is Finance, Customer Success, or Operations
- Department is Finance and City is Dallas
RedFlag will automatically include any recipients or desktops that match the selected conditions.
🛡️ Note: Dynamic groups update automatically as profile information changes. Once set up, profiles flow in and out of the group without manual updates.
Geofence Groups
Geofence groups are based on a boundary drawn on a map. Any recipients or desktops located within that boundary can be included in the group.
Profiles can appear on the map based on:
- Address information in their profile
- Live device location from the mobile app or desktop app, if location services are enabled
- Location coordinates added to a static or dynamic group
You do not have to create geofence groups in advance. You can also draw a geofence directly from the Create Message page when sending a message.
Additional Group Options
Pin a Group to the Map
Static and dynamic groups can be pinned to the map by adding location coordinates. This is useful when a group should be tied to a fixed location, such as a corporate office, for geofence messages or threat intelligence alerts.
Self-Subscribe Groups
Static groups can be marked as self-subscribe. This allows recipients to join the group themselves through the recipient app.
A common use case is a school district creating self-subscribe groups for each grade so parents can choose which updates they want to receive.
Auto CC Groups
Groups can be marked as Auto CC. When enabled, the group is automatically copied on every message.
🛡️ Note: Only Account Admins and Super Admins can remove an Auto CC group before sending a message. Admins and Editors cannot remove Auto CC groups.
Protected Groups
Protected groups are groups that Account Admins or Super Admins do not want Admins to edit. This helps prevent important group settings from being changed accidentally.
Global Group
RedFlag includes a global group that always contains everyone in your database. Use this group when you need to send a message to all recipients or desktops without worrying about leaving anyone out.
Deactivating or Deleting a Group
To delete a group, you must first deactivate it by clicking the red Active button and confirming the group should be inactive. Once inactive, the group can be deleted.
🛡️ Note: Deleting a group does not delete the recipients or desktops in that group. They will remain in your recipient and desktop databases.
If a group is deactivated but not deleted, it can be reactivated at any time.
