Manage Users

🛡️ Note: If your location is using SSO, you cannot add or delete users directly in RedFlag. Please refer to the Managing SSO Users article for guidance.
Overview
Users are individuals who log in to the RedFlag platform to send messages and manage account settings. Only users with the Account Admin or Super Admin role can add or remove other users.
The number of users you can have depends on your RedFlag subscription plan. If you exceed your user limit and need to add more, you may upgrade your plan to increase the allowance.
🛡️ Note: To view available user role types and their permissions, click Roles and Permissions in the top-right corner of the user list.
Users List
The Users List displays:
- First Name
- Last Name
- Role Type
- Activation Status (whether the user has activated their account from the activation email)
- Last Updated Date
- Authentication Type (UMP for standard users, SSO for Single Sign-On users)
You can search by name, email, or role type. The Role and Activated columns include built-in filters for quick access.

Send Activation Email
If a user has not yet activated their account:
- Click the row for that user.
- Scroll to the bottom and click Send Activation Email.
- You can resend this email as often as needed.
Edit Existing User
To update a user’s name, role type, or access options:
- Click the row of the user you wish to edit.
- Make the necessary changes.
- Click Save at the bottom of the page.
🛡️ Note: Email addresses cannot be edited. If a user’s email has changed, you must delete the user and re-add them with the new email address.
🛡️ Note: A user cannot change their own role, or delete themselves. A super admin must make those updates.
Additional Access Options
Restricted Folders
If your location uses restricted folders, click Restricted Folder to assign folder access to the user.
Group Access (Editor Role Only)
For users with the Editor role, click Groups to define which recipient groups they can message.
Chat Access
If 2-way chat is enabled and the user needs access:
- Check the box next to Chat.
- Click Inboxes to select chat inboxes.
- Selecting All grants access to current and future inboxes.
- Selecting specific inboxes limits access to only those selected.
Delete User
To remove a user:
- Select the checkbox next to their name.
- Click Delete at the top of the user list.
