Add Recipients

Overview

Recipients are the people you can send messages to in RedFlag. This article explains how to add recipients to your database using either bulk upload or manual entry. It also covers recipient mapping, unique identifiers, upload processing, required and read-only fields, and tips for maintaining accurate recipient data.

You can add recipients by:

  • Bulk uploading an Excel or CSV file
  • Manually adding individual recipients
  • Updating existing recipient records through uploads

Bulk Upload Recipients

Bulk upload is the best option when you need to add or update multiple recipients at once.

Navigate to Recipients > Bulk Upload Recipients.

You can choose from the following upload options:

  • Add Recipients Only
  • Add and Update Recipients
  • Add, Update, and Delete Recipients

Prepare Your Upload File

RedFlag uses a unique identifier to recognize each recipient. This can be an email address, text number, or Unique ID, such as an employee ID.

🛡️ Note: If a recipient does not have an email address, text number, or Unique ID, they will be duplicated each time they are uploaded because RedFlag cannot identify them as an existing recipient.

Your file should include:

  • One recipient per row
  • One data field per column
  • Column headers, if available

Your columns do not need to be in a specific order. During the upload, you will map each column in your file to the enabled data fields in RedFlag. The column headers also do not need to match the RedFlag data field names exactly.

If your file includes columns you do not want to import, you can leave those columns unmapped.

Upload and Map Your File

After selecting your upload option, choose your Excel or CSV file.

Select the header row from your file, or select that your file does not contain a header row. Then click Next.

On the mapping page, the left column shows the column headers from your file. The right column shows the RedFlag data fields available for mapping.

RedFlag may automatically map fields based on matching names. You can keep the auto-mapping, update it, or set a field to Not Mapped to skip it.

If you have one phone number column, such as Mobile Number, and want that number to be used for both text and voice messages, keep it as one column in your file and use secondary mapping during the upload to map the number to both the text and voice channels.

🛡️ Note: If you do not see a data field you need, review your enabled fields under More > Profile Data Field Setup.

Once all fields are mapped or intentionally left unmapped, click Import.

Save Field Mapping for Future Uploads

You can save your field mapping for future uploads. When you use the saved mapping on your next upload, RedFlag will automatically map your columns the same way they were mapped previously.

This helps save time when you regularly upload files with the same column format.

Review Upload Results

After the upload is complete, the user who performed the upload will receive an email with processing details.

If there are any issues, a CSV file will be attached to the email. The file will identify the row with the error and explain what needs to be corrected.

Manually Add Individual Recipients

Manual entry is best when you only need to add one or two recipients without preparing a bulk upload file.

Navigate to Recipients > Add Individual Recipients.

A form will open where you can enter the recipient’s information field by field. The fields displayed on the page are based on the data fields enabled under More > Profile Data Field Setup.

Some fields may behave differently depending on how your organization has configured RedFlag:

  • Required Fields must be completed before the profile can be saved.
  • Read-Only Fields cannot be edited manually and are typically managed through integrations or automated syncs.

🛡️ Note: Your organization may require certain fields, such as employee ID, email address, department, or phone number, depending on how RedFlag is configured.

When entering delivery channel information, such as text numbers, email addresses, or voice numbers, ensure the information is entered accurately so the recipient can successfully receive notifications.

Once all required information has been completed, click Save. The recipient will immediately be added to your database and available for messaging, grouping, and reporting.
